Order management and delivery notes

An approved quote becomes an order. An order can be delivered in parts; each delivery note reduces stock and is ready to be invoiced. The order shows what has been delivered and what has been invoiced.

  • Partial delivery and invoicing
  • Deliveries reduce stock
  • Order confirmation as PDF and by email
Order list: order number, customer, delivery status, invoicing status and amount.

Orders

An order is created from a quote or entered directly. Its status is calculated from the delivered and invoiced quantities; there is no need to update it by hand.

  • Quote lines are carried over to the order
  • The order confirmation is sent to the customer as a PDF
  • The delivery date appears in the calendar
  • Delivery notes and invoices linked to the order on one screen
Order details: items, delivered and invoiced quantities, linked documents.

Delivery notes

On the delivery note you choose how many units of each item are shipped. The shipping method and the tracking number are noted. When the delivery note is marked as “delivered”, stock is reduced.

  • Several delivery notes from one order
  • A cancelled delivery note restores the quantity and the stock
  • Delivery note PDF and email
Delivery note list: number, customer, order, date and delivery status.

Conversion to invoice

An order or a delivery note is converted to an invoice with one click. Only the quantity that has been delivered and not yet invoiced goes onto the invoice; the same item is not invoiced twice.

  • Keyboard shortcut: F3 converts to an invoice
  • If the invoice is cancelled, the order quantities are opened again
  • The customer can follow the order in the portal
